The Builder Desk will be run by IdeaHub Digital. The company is not registered yet, so this page is here to be read and checked rather than relied on, and one detail below is still a placeholder: the county named for legal venue is an assumption, not a decision.

While that is true, the app is being used by a small founding group at no charge and no payment is being taken from anybody. When the company is registered this page will be completed with its registered details, dated, and take effect from that date — and everyone using the app then will be told, rather than finding out by re-reading it.

This is the short version, in plain language, followed by the full policy. If the two ever disagree, the full policy governs — but we have tried hard to make sure they do not.

1. Who we are

The Builder Desk is operated by IdeaHub Digital (“we”, “us”), based in California. Questions about this policy, or requests about your data, go to ideahubdigital@gmail.com and reach a person, not a ticket queue.

1a. If you are outside the United States

The Builder Desk is built for agents in the United States, and everything it stores is stored on servers in the United States. If you use it from somewhere else, your information is transferred to and handled in the US, where the privacy laws are not the same as your own. We are not currently set up to meet the specific requirements of the European Union or United Kingdom regimes, and we would rather say so than imply otherwise — if that matters to you, write to ideahubdigital@gmail.com before you put anybody’s details in.

2. What The Builder Desk is not

The Builder Desk is an independent software product. It is not affiliated with, sponsored by, endorsed by, or connected to World Financial Group, Transamerica, World System Builder, or any other financial services firm, broker-dealer, or insurance carrier. Any names of firms, programs, or designations that appear in the app are there because you or your team use them to describe your own work.

We are not a broker-dealer, an investment adviser, or an insurance agency. We do not give financial, legal, or tax advice.

3. The three kinds of information here

a. Your account

Your name, email address, and password (stored only as a cryptographic hash we cannot reverse). If you supply an agent code, level, or start date, we store those too. Sign-in is handled by Google Firebase Authentication.

b. Your own business information

Goals, plans, sprints, tasks, calendar entries, production figures, team structure, content drafts, and anything else you type into the app. This is yours. We process it to run the service for you and for nothing else, apart from the usage counts described in (e) below, which never include anyone’s name or details.

c. Information about other people that you enter

Names, phone numbers, email addresses, and notes about prospects, clients, and team members that you add. These people did not sign up here and have no relationship with us. We hold this information on your behalf, at your direction. You are responsible for having a lawful basis to collect and hold it, and for honoring any request they make to you about it. If they contact us directly, we will refer them to you and assist you in responding.

Photos and PDFs. You may keep up to ten photos or PDFs with each person (5 MB each), such as a business card or a document they gave you. They are stored with our storage provider (Google Firebase Storage) in a space that only your signed-in account can open; we do not look at them, and no AI feature reads them unless you choose one that says it does. Photos are made smaller on your device before they upload. Removing a file, or the person, deletes it. Please do not upload a Social Security card, a driver’s license or bank details.

d. What you choose to tell us about yourself

When you sign up, and at any time in Settings → About you, you may tell us your line of work, the city or state you are based in, how you heard about The Builder Desk, and your birthday (month and day only, no year). Every one of these is optional. We use them to understand who the Desk serves and where, and, for your birthday, perhaps to wish you a happy one. You can change or clear them yourself in Settings. These are about you only, never about the people on your list.

In Settings → About you only, you may also answer a longer, optional set of questions: your company or office name, how you work and for how long, full or part time, team size, who you mostly serve, an age range (never your exact age), your household, the languages you speak, what you want help with and find hardest, the tools, devices and social networks you use, what you would like us to add, what a tool like this is worth to you, how you like to learn, the best time to reach you, and whether you would like early features or a feedback call. Apart from the company name, each answer is a pick from our own list. We use them to decide what to build next and who to tell about the Desk. We never ask your income, gender, race, religion or health. Skip any of them, and clear them at any time.

e. How you use the Desk: counts, not contents

The app keeps a small set of numbers about your own use: how many people are on your list, how many you have been in touch with, how many friends you have made this year, how many follow-ups are due, how many conversations and meetings you logged this month and appointments this week, whether you build a team, whether you are linked to an upline, and the date of those numbers. We also see when your account was created and when you last signed in, and the size of your team from the links you and your team confirm.

These numbers never contain a name, a phone number, an email address, a note, or anything else about a person on your list. The database refuses to store anything else in them. We use them to improve the Desk, to see which kinds of businesses and which places it is growing in, and to reach out when it looks like someone could use help getting started.

f. Emails we send

Service emails about your account, sign-in, security and billing go to every account; they are part of running the service. News and offers go only to people who ticked the box to receive them, and every one carries a link to stop. Unticking the box in Settings → About you stops them too.

g. Payments

Nobody is being charged yet. When paid plans begin, payments will be handled by Stripe. We will see your plan, whether a payment went through, your payment history, and any refunds. We will never see or store your full card number; Stripe holds it. Refunds are handled by us through Stripe, or by Apple or Google for purchases made in their app stores.

This is the part most people want to know, so it is spelled out exactly. The rules below are enforced by database security rules, not by a preference a leader can change.

Coaching information stops one generation up on purpose. A leader three levels above you coaching over your head, using your own recruit’s data, undermines you with your own team. Production rolls up the full depth because that is how the business is measured and reported; coaching does not.

Where a total covers a team in which some members do not use The Builder Desk, the app says so alongside the number. We would rather show a caveat than a confident wrong figure.

6. Artificial-intelligence features

Some features send text to a third-party AI provider to generate a draft or a summary. Today that provider is Google (Gemini API), used on a paid plan under terms in which Google does not use the content to train or improve its models, and does not route it to human reviewers for that purpose. Google retains limited logs for abuse prevention and legal compliance.

Your request is sent from the app to our own server, which checks that you are signed in and then forwards it. The AI provider does not receive your name, your email address, or your account identifier.

Voice notes. When you press record on a voice note, the audio is sent to the same provider, turned into text, and then dropped. We do not store the recording, and neither does the provider beyond its limited abuse logs. Only the text you see on screen and choose to save is kept, in your own records. The microphone is used only while you are holding a recording open — never in the background.

Scanning a card. When you choose a photo of a business card, a contact screenshot or an email signature, a smaller copy of that picture is sent to the same provider to read the details printed on it, and then dropped. Nothing is saved until you check the details and press save.

Helping you with words. Several features send what they need and nothing more, only when you tap them: Make it about them, Write a note for a birthday or date, Get a reply (the message you paste), Practice the call (what you type in the practice), and translating a line into another language. For these we send the suggested words and what you recorded about that person: what you chose to remember, family, work, interests, how you met, and recent notes. We do not send their name, phone number or email. Your own notes are sent as you wrote them, so if you typed a name into a note, that note goes too. You read every result and decide whether to use it; nothing is ever sent to the person by the app.

Asking your list. When you ask a question such as “who did I meet at church?”, the people on your list are sent as numbers with what you recorded about them, and the matching numbers come back. Names, phone numbers and emails stay on your device and are put back on the answers there.

Adding people faster. Say it sends your recording or your typed description to be turned into a new person; the recording is not kept. Photo of a list and Scan a card send a smaller copy of the picture you choose so the names and details printed on it can be read, and then drop it. Read the numbers from a screenshot (GX, for teams that use it) does the same with a screenshot of your own points report, and you check each number before it is used. Nothing is added until you check it and press the button.

Finding things to do. The place ideas on Today and in a person’s record open Google Maps on your device; the Desk does not store your location. When you tap Find events, the town you typed and any interests you typed are sent to the provider, which searches the web with Google Search; nothing about anyone on your list is sent. Results are kept on your device for the rest of that day so the same search is not repeated.

If you tap Use my location, your phone or browser asks your permission first. If you allow it, the Desk rounds the location to about a kilometre (two decimal places) and sends only that rounded point, in place of a town, for that one search and the Maps links beside it. It is not saved on your device or on our servers, and it is asked for again each time.

Not AI. Spotting dates in your notes (“moving in March”) and the weekly summary on Today are worked out on your own device and are never sent anywhere.

Only the text needed for the feature is sent. Even so, please do not paste a Social Security number, a policy number, a bank account number, or a client’s medical or financial details into an AI feature. The app does not need them, and no third party should hold them.

If we change AI providers we will update this page before the change takes effect.

7. Who else touches your data

Each of these acts on our instructions under their own data-processing terms. We add to this list only by updating this page first.

We will disclose information if we are legally required to, and we will tell you unless we are legally prohibited from doing so.

8. Cookies and similar technology

The Builder Desk uses browser storage to keep you signed in and to remember small conveniences such as a chosen filter or an unsent draft. That storage lives in your browser, on your device.

Analytics and ad cookies. When you first visit, a banner asks whether we may use them. “No thanks” loads none. “Analytics only” loads Google Analytics, to count visits and see which screens are used. “Allow all” also loads the ad tools we use (Google Ads, Meta, TikTok) so we can measure our own advertising; those companies may use what they learn under their own privacy policies. You can change your choice at any time from Cookie choices at the foot of our website or in Settings → Your data in the app.

California. Letting ad tools measure visits may count as “sharing” personal information for cross-context behavioral advertising under California law. To opt out of that sharing, choose “No thanks” or “Analytics only”, or turn on Global Privacy Control in your browser, which we honor automatically. We do not sell personal information for money.

Whoever and wherever you are, you may ask us to:

Write to ideahubdigital@gmail.com. We will respond within 30 days. We will not charge you, and we will not treat you differently for asking.

California residents have specific rights under the CCPA as amended: to know, delete and correct, to opt out of “sharing” for cross-context behavioral advertising, and to be free from retaliation. Opt out of sharing with Cookie choices (section 8) or Global Privacy Control; use the process above for the rest. We do not sell personal information for money.

11. Security

Data is encrypted in transit and at rest. Access is controlled by database security rules that apply to every request, including ours. Our AI proxy requires a valid signed-in session before it will do anything. API keys and secrets are held in server-side secret storage and are never included in the app you download.

No system is perfectly secure. If a breach affects your information, we will notify you and any required authority without undue delay, and we will tell you what happened rather than what sounds best.

12. Children

The Builder Desk is for licensed professionals and is not directed at anyone under 18. We do not knowingly collect information from children. If you believe a child’s information is here, contact us and we will remove it.

13. Changes

If we make a material change — a new category of data, a new service provider, a new use — we will notify you in the app and by email before it takes effect, and update the date at the top of this page.
